Call for Abstracts

The Call for Abstracts is now closed

Note : Abstract requirements (fields to be completed) can be viewed once you have created your profile in the abstract submission platform.

Only one (1) poster and two (2) oral abstract submissions will be allowed per presenter. The deadline for abstract submission will be September 14, 2018 at midnight EDT. Given the limited number of oral presentation slots available, the Organizing Committee, in collaboration with session Chairs, may assign some abstracts to the poster session. Both oral and poster presentations carry equal weight and abstracts will be published for both. Authors will be informed of the final format of their presentation in October 2018.

GUIDELINES FOR ORAL PRESENTATIONS

Presenters in topical sessions will be given a maximum of 15 minutes for their presentation, including questions. As we are running concurrent sessions, presenters will not be given the opportunity to go over their allocated time slot. An LCD projector and computer will be available in each meeting room. Presenters are expected to download their talk on the Conference server the day before their scheduled presentation in the speaker-ready room. This room will be available for presenters who wish to go over their talks and/or make modifications. Note that translation services will not be available and that the main conference language will be English.

GUIDELINES FOR POSTER PRESENTATIONS

Maximum poster size is 45 in. (115 cm) wide by 45 in. (115 cm) high. Do not exceed the maximum poster size as your poster will not fit in the space available. Velcro pads will be distributed on site for installation. The official poster sessions will take place on 11 and 12 December, however posters will be available for viewing throughout the week. Posters may be set up on Monday 10 December between 8:00 and 16:00 and must be taken down before 11:30 am on Friday 14 December. Poster board allocations will be provided to presenters upon check-in. Please note that the main conference language will be English.

GRADUATE STUDENT POSTER AWARDS

ArcticNet organizes a Conference Poster Competition to recognize excellence in science and its presentation by Early Career Researchers. This competition is open to all Master’s and Doctoral students with an abstract approved for poster presentation and who are registered to the ASM2018. Each contestant can only present one poster.

In addition to bringing your printed poster at the conference, an electronic version of your poster in PDF format will also be requiried to facilitate judging and will be made available post-conference as part of the online Conference Proceedings.

To submit an electronic version of your poster in PDF format, please follow the instructions below:

  1. After you have prepared your poster following the guidelines above, you must convert the document into PDF format. NOTE: Only PDF files may be uploaded.
  2. Log into your abstract submission account.
  3. On the ‘Submissions’ tab, find your accepted poster submission. NOTE: Your submission will appear as ‘incomplete’ until you upload your PDF.
  4. Click on your submission to access your abstract, and scroll down to the bottom to ‘Poster Upload’.
  5. Click on ‘Upload’ to upload your poster, then ‘Save & Submit’.

A panel of judges will evaluate eligible posters based on set criteria, including clarity, comprehensiveness and conciseness of the abstract, the scientific quality and presentation of research. The winners of the Poster Awards are presented with $1000 CAD for first place, $600 CAD for second place and $400 CAD for third place in each of the following three categories: Social and Health Science, Marine-Natural Science and Terrestrial-Natural Science. Prizes of $250 CAD for Honourable Mentions will also be presented. The Graduate Student Poster Award winners will be announced and prizes awarded at the Banquet Dinner on the evening of 13 December 2018.
